2. THE DATA WE COLLECT ABOUT YOU

Nor do we collect any information about criminal convictions and offences. We may however, record limited information about your health if it is required for the purpose of recording incidents or accidents that take place on Abbeydale Sports Club Limited property.
If you fail to provide personal data:

3.3 From particular sports clubs. When you become a member of or renew your membership with a particular sports club which operates from Abbeydale Sports Club Limited facilities or property, you will automatically be registered as a member of Abbeydale Sports Club Limited. Your sports club will pass your Identity Data and Contact Data to Abbeydale Sports Club Limited, so that we can arrange your Abbeydale Sports Club Limited club membership. We collect this data from the individual sports clubs by email.
4. HOW WE USE YOUR PERSONAL DATA
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- To register you as a member of Abbeydale Sports Club Limited and administer your involvement in the Abbeydale Sports Club Limited.
- To register all adult members of Abbeydale Sports Club Limited as a shareholder of the company.
- Where to need to respond to your query or provide you with information that you have asked us to provide.

We may use your data to analyse the demographic of our membership in order to report Aggregate Data to Sports England and other governing bodies about diversity among our members. Your personal data will not be communicated to Sports England or other governing bodies in a way which enables you to be identified. The sharing of Aggregate Data enables us to continue to receive support and funding from Sport England and other bodies.
Special Category Data:
We may record limited information about your health if you are involved in an incident or accident that takes place on Abbeydale Sports Club Limited property and which results in an injury that we have to record for health and safety purposes. This will be kept to the minimum required to comply with relevant health and safety regulations and will only be shared with emergency services or first response crew (such as St. John’s Ambulance) as necessary and appropriate in the circumstances. We may collect limited health information for our legitimate interest of record keeping and compliance with health and safety requirements. We will only do so where we have your explicit consent to the processing of your health information for that purpose, or where it is necessary to protect your vital interests where you are physically incapable of giving or withholding consent, or where it is necessary for the establishment, exercise or defence of a legal claim.

5. DISCLOSURES OF YOUR PERSONAL DATA
We may have to share your personal data with Omega at Abbeydale Ltd who are contracted by Abbeydale Sports Club Limited to operate and manage the Abbeydale Clubhouse, for the purposes set out in the table in paragraph 4 above.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
6. INTERNATIONAL TRANSFERS
We do not transfer your personal data outside the European Economic Area (EEA).
7. DATA SECURITY
All information you provide to us is stored on our secure servers in the United Kingdom.
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
8. DATA RETENTION
How long will you use my personal data for?:
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
Usually we will retain your personal data for 12 months after the termination or expiry of your membership. If we have had reason to record your personal information and health information for reasons of health and safety record keeping (see Special Category Data, above) then we will keep those records for a minimum of 6 years and may keep then for up to 15 years.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
9. YOUR LEGAL RIGHTS
